Terms & Conditions

1. About these terms
These terms apply to all orders placed with Polka Cake Studio ApS, CVR 46758730 Address: Ørestads Boulevard 37F 3.th. polkacake.studio@gmail.com. By paying a deposit or placing an order, you accept these terms.
2. Quotes and prices
Every cake is designed individually, so you'll receive a personal quote after we've talked about your celebration. All prices include 25% VAT.
The final price depends on the size and complexity of the design. Delivery, set-up at the venue, cake cutting and extra decorations are quoted separately.
3. Booking your date
Your date is reserved once I have received your deposit. For wedding cakes, the date is confirmed when I have received both the deposit and our signed agreement.
4. Payments
Wedding cakes: a non-refundable deposit of 1,000 DKK to book your date. Three months before the wedding, payments must reach a third of the total; if you book later than that, the deposit is a third of the total. The remaining balance is due two weeks before the wedding.
Celebration cakes and desserts: a non-refundable deposit of a third of the total to book your date, and the remaining balance three days before your celebration.
Payment is made by bank transfer. If a payment isn't received on time, I may cancel the order, and payments made up to that point are not refunded.
5. Design
For wedding cakes, I prepare a sketch that shows the direction we agree on together: colours, mood, structure and details. The sketch is a direction, not a technical drawing. The finishing touches are made by hand, so the finished cake may differ slightly from the sketch.
Inspiration photos are welcome, but I don't copy other artists' cakes. I design something in a similar spirit, made for you.
6. Changes
Wedding cakes: changes to the guest number, flavour and design are possible until about one month before the wedding. Celebration cakes: changes are possible up to one week before. Changes may affect the price.
A new date is possible only if it is still free in my calendar.
7. Cancellation
If you cancel your order, all payments made up to that point are non-refundable, including the deposit.
Because every cake is made to your specifications and is perishable, the 14-day right of withdrawal under Danish consumer law does not apply.
8. Pick-up
Cakes of up to two tiers can be collected from my studio in Amager, Copenhagen. I'll send you the address when we confirm your order. Polka Cake Studio is a studio for pre-orders only, with no walk-in sales.
From the moment you collect the cake, it is your responsibility, and I can't be held liable for any damage after collection. Please carry it on a flat surface and keep it away from heat and direct sunlight.
9. Delivery and set-up
I deliver across Copenhagen and Zealand. Three-tier cakes and cakes with a more complex structure are always delivered by me. The delivery price depends on the distance to the venue and back and on the size of the cake.
Please make sure the venue has a stable, level table and a cool place for the cake, and let me know in advance if the venue cannot store it in a fridge. Responsibility for the cake passes to you or the venue once it has been delivered.
Set-up and styling at the venue, and cake cutting during your celebration, are available at an extra cost.
10. Allergies
Allergens are listed for every flavour. Gluten-free and lactose-free versions are available at an extra cost, but not every flavour can be made completely lactose-free. My kitchen handles nuts, gluten, milk, eggs and soy, so I can't guarantee that any cake is free from traces. It is your responsibility to tell me about any allergies and to inform your guests.
11. Non-edible parts
Tiered, antigravity and sculptural cakes contain supports and other non-edible parts, and some decorations may be non-edible too. These must be removed before the cake is served. I'll tell you which parts to remove.
12. Storage
Keep the cake in the fridge and eat it within three days. For the best flavour and texture, take it out of the fridge 30 minutes before serving. Leftovers can be frozen for up to a month. I can't be held responsible for the quality of a cake that hasn't been stored this way.
13. Photos
I may use photos of the cake on my website and social media. Photos showing you or your guests are only used with your consent.
14. If something isn't right
If you're not happy with your cake, please contact me within [24 hours] and send photos, so we can find a solution together.
15. Circumstances beyond my control
If I can't complete an order because of illness, accident or other circumstances beyond my control, I'll let you know as soon as possible and refund the payments for the part of the order I can't deliver.
16. Law and complaints
These terms are governed by Danish law. If we can't solve a complaint together, you can contact Nævnenes Hus (naevneneshus.dk).
